Toolkit usage licence
Effective date 16 October 2026
This licence applies to The Workplace Kit templates, guides, trackers and bundles purchased under our standard internal-business offering. It explains permitted copying, editing and sharing. It should be read with the purchase terms and refund policy. Contact info@theworkplacekit.com.au about a different use or licence scope before purchase.
The licensed business
Each purchase licenses one purchasing business identified in the order or subsequently confirmed with us. A business may be a sole trader or a single legal entity. Its employees and managers may use the purchased resources across its locations and teams. Separate legal entities, franchisees and unrelated client businesses are not included unless we agree otherwise in writing.
Once payment is received, we grant that business a non-exclusive licence to keep and use the supplied version for its internal operations for an unlimited period, subject to this licence. There is no annual licence fee under this standard purchase. The licence does not give ownership of our underlying resources.
Permitted use
- Download and keep secure working and backup copies.
- Edit templates, add your business branding and tailor content to your workplace.
- Print, copy and use documents repeatedly for internal HR processes and manager training.
- Share relevant resources with employees and managers of the licensed business.
- Share necessary copies with external advisers supporting that business, provided they use them only for that work and do not distribute or reuse them for other clients.
- Give completed or tailored documents to employees, candidates, advisers, regulators or other recipients where reasonably needed for the licensed business’s HR processes or legal obligations.
The licensed business is responsible for reasonable controls over access. Do not provide the full reusable toolkit to third parties who do not need it for the permitted purpose. External adviser access does not create a separate client-use licence.
Uses requiring separate permission
You must not resell, sublicense, publish, upload for public access or distribute the reusable resources outside permitted use. You must not use them to create a competing template library or digital product. A consultant must not buy one licence and reuse the resources across unrelated client businesses. Contact us to discuss separate client or group-business licences.
You may add your logo to working documents for internal use. Do not claim authorship of our underlying resource library or remove copyright notices from unmodified source guides or licence information. These restrictions do not prevent the tailoring and rebranding expressly permitted above.
Ownership and changes
We or the relevant rights holders retain copyright in the original content. Your organisation’s information and records entered into a template remain yours. You are responsible for your adaptations and for checking suitability and current requirements. The licence does not provide personalised advice or guarantee compliance.
The licence covers the version supplied at purchase. Future editions and ongoing updates are included only if expressly stated at purchase. Our statutory obligations to remedy a faulty or misdescribed product remain unaffected.
Breach and cancellation
If there is a material licence breach, we will explain the issue and normally allow a reasonable opportunity to remedy it before ending the licence. We may take urgent, proportionate action where necessary to stop ongoing unlawful distribution or protect our rights. Any termination must be lawful and does not remove remedies available to you under consumer law.
If a licence ends following lawful termination or a full refund cancelling the purchase, stop new use and remove reusable template copies within your control. Completed employment documents and historical records may be retained for legal obligations, legitimate recordkeeping and continuity of existing employee processes. Recipients are not required to destroy completed records already provided to them. A licence change does not retrospectively invalidate those records.
